Good news coming to the Manage Change Request

Important changes are coming to the Manage Change Request (MCR) process in NCTracks that will simplify the process for those who submit MCRs.

Manage Change Requests are used by existing NCTracks providers to make updates to their provider record, including renewed licensure information, changes in bank accounts for Electronic Funds Transfer (EFT), defining new taxonomy codes for services rendered, and identifying new provider locations. Currently, only the Office Administrator for a provider or the owner or managing employee can create and submit Manage Change Requests. This presents a challenge, especially to large provider organizations where the Office Administrator may be responsible for multiple NPIs.

In addition, submitting a Manage Change Request today requires stepping through each of the online screens before the request can be submitted. This approach is essential for some types of provider record changes, such as the addition of a new taxonomy code, but other changes are more simple and straightforward, such as changing EFT information for the deposit of funds from NCTracks.

Good news! The changes coming to the Manage Change Request process on August 2, 2015, will address many of these challenges. Specifically:

Office Administrators will be able to designate Enrollment Specialists

  • Enrollment Specialists will be able to initiate and complete Manage Change Requests, new enrollment, re-enrollment, or re-verification applications
  • Completed MCRs and enrollment applications will be routed to the Office Administrator for approval before submission
  • Any number of existing NCTracks users with access to the NPI can be designated as an Enrollment Specialist

This new approach will help relieve the burden on Office Administrators, while still maintaining control over changes to the provider record in NCTracks.

Also, some provider record changes will no longer require the full MCR process. Changes to EFT, provider/group affiliation, and method of claim submission and electronic transactions and/or billing agent can be made to the provider record through a streamlined process, which only involves a few online screens. Streamlined changes do not require manual review and approval; most take effect when they are submitted. Enrollment Specialists will be able to submit streamlined MCR changes, with some restrictions. For example, only Office Administrators will be permitted to submit EFT change requests and a pre-note period is still required. The streamlined MCR options will be available on the Status and Management page of the secure NCTracks Provider Portal.

An added benefit coming with the changes in August will give providers the capability to upload documents supporting an enrollment application after the application has been submitted in NCTracks. This new functionality also supports re-enrollment, MCR, re-verification, and maintain eligibility applications. Today, if additional documentation is needed to support a provider enrollment related application, it must be printed and mailed into the CSC offices.   This online capability will help expedite the receipt and processing of supporting documentation and therefore help expedite the review and approval of enrollment related applications.
