Requesting Copies of RAs from Previous Checkwrites

Beginning August 18, 2014, there will be a charge to providers for CSC to provide a copy of a Remittance Advice (RA) from a previous checkwrite. The charge is a flat fee, depending on whether the RA was generated prior to July 1, 2013, or after. The copy of the Remittance Advice will be provided as an electronic file. The process to request a copy of a Remittance Advice is outlined below.

Providers who want a copy of a Remittance Advice generated after July 1, 2013, should be able to retrieve it from the Message Center Inbox on the secure NCTracks Provider Portal. The RAs are retained in the Message Center Inbox for up to seven years. There is no cost associated with retrieving an NCTracks Remittance Advice from a previous checkwrite using the Message Center Inbox. See the User Guide “How to Retrieve an NCTracks RA from a Previous Checkwrite” on the Provider User Guides and Training page of the public Provider Portal.
If a provider is unable to retrieve an NCTracks Remittance Advice from a previous checkwrite using the Message Center Inbox, or if the Remittance Advice needed is from a checkwrite prior to July 1, 2013, the provider will need to submit a request form to CSC. The Provider Reports Request Form can be found on the Provider Policies, Manuals, and Guidelines page of the public Provider Portal. The form must be filled out completely, including the checkwrite date(s) needed, the NPI, provider name, and contact information, including email address. The completed form should then be mailed, along with a certified check for the amount due, to the address on the form. The charge for an NCTracks RA is $60 and the charge for an RA generated prior to July 1, 2013 is $90, regardless of the number of pages in the RA.
RAs can usually be provided for checkwrites dating back to September 11, 2000, and can only be provided electronically (no paper). If the RA file is too large to send in a single email, it may be split into multiple files and emailed separately.
The Provider Reports Request Forms cannot be accepted via email or fax, and the only acceptable method of payment is certified check. The requestor must have direct responsibility and control for the NPI for which the RA(s) is requested. Only one NPI can be designated per form. If RAs are needed for more than one NPI, separate forms and payment should be submitted.
Once received, the information on the Provider Reports Request Form cannot be changed. Allow up to three weeks after mailing the Provider Reports Request Form and certified check to receive the email from CSC with the requested RA(s).
