Updating Provider Licenses FAQs
The NCTracks Call Center receives many questions pertaining to updating provider license information in NCTracks. Following are answers to several frequently asked questions (FAQs) about licensure updates.

1. When keying my license number into NCTracks, should I use the dash (if there is one)?
Yes, the license number should be keyed, with any dashes, into NCTracks exactly the way it looks with your license authority.

2. What is the plus (+) sign next to some sections on the NCTracks website?
The plus sign indicates that section has been collapsed to make the webpage easier to read. To see more information, expand the section by clicking on the plus sign. Taxonomy codes are one example of sections with a plus sign. Providers should review all information under plus sign entries to ensure that their information is current.

3. Why won't NCTracks accept my license number?
NCTracks receives some provider license information directly from the licensing authority, such as the Medical Board. When you key your medical license into NCTracks, it will be validated against the information received from the Medical Board or other licensing authority. However, if you have only recently obtained your license, NCTracks may not have received the information yet. (NCTracks receives updates from the Medical Board once a month for the previous month.) If you receive an error message regarding your license, try again at a later date.

4. Will I be prompted by NCTracks when my license is expiring?
Yes, a message will be posted to the Message Center Inbox on the secure provider portal 60 days prior to license expiration. If your license is expiring, you will need to update it promptly in NCTracks or your provider record may be suspended and/or terminated. NCTracks receives automatic updates from the Medical Board on license renewals, but providers still need to validate the information.

5. How can I find out what license(s) are required for my taxonomy code(s)?
Specific qualifications for each provider type are listed in the Provider Permission Matrix. The Provider Permission Matrix and instructions for how to use it are posted under Quick Links on the Provider Enrollment page of the NCTracks provider portal.

6. When I am in the Status and Management section of the secure NCTracks provider portal, how do I find out which taxonomy code has a license that needs to be updated?
On the Accreditation page, there is a paragraph just above the required licensing that outlines which taxonomy has a license that is expiring.

7. I am a mental health provider. My taxonomy code was assigned by the LME and I don’t have a license number for it. How do I fix that?
On the accreditation page of the application just above the license requirements there is a paragraph that lists the accreditations, certifications, and/or licenses you must provide, based on provider type. This will also assist in determining if you need to end date a taxonomy code. When you have taxonomies that require licenses you do not have, you must end date the taxonomy that is causing the licensing/accreditation requirement. To do this, select the plus sign next to the taxonomy you need to end date.
Select ‘edit’, then select ‘end date.’ You can choose an end date in the future or it will default to the current date. Then select ‘update.’ End-dating the taxonomy code will also end-dates the accreditation requirement. It’s important to make sure you still have at least one valid taxonomy code on the provider record.
